Customer Commitment Ledger for Roadmaps

Every date promised to a customer, tied to its epic, forecast, squad capacity and renewal, with the at-risk ones flagged.

Overview

Customer Commitment Ledger for Roadmaps is a PlanMagnet concept for software and SaaS companies that promise delivery dates to customers. It keeps every such promise in one ledger, linked to the epic or request that delivers it, and sets the promised date beside a forecast, the owning squad's capacity and the customer's renewal, so product, sales and customer success leaders share one honest answer to what was promised and whether it will be met.

In a software company, delivery promises are made in many places: a sales call to close an expansion, a customer success review ahead of a renewal, a roadmap conversation with a key account. They are rarely written down next to the work, and nobody notices that the squad delivering one of them is over-allocated until the promised date has passed, sometimes just before that customer's renewal.

The illustrated Customer commitments page sits under Products, with Log commitment and Export actions. Filter chips count all commitments and those at risk, on watch, on track, unscheduled and delivered, and tiles show open commitments, commitments at risk, the annual recurring revenue renewing with at-risk items and the median forecast slip. The ledger lists each commitment with its account, promised date, forecast window, linked epic or request, squad capacity with a utilization bar, renewal date and seats, and a status; commitments not yet scheduled show no forecast. One requested feature is marked at risk because its account renews before the work is scheduled. The selected at-risk commitment appears in a detail panel with its source, renewal and capacity, a forecast confidence, the sprints the forecast is grounded in and a caution that the estimate lands after the promised date, with Propose new date and Notify account owner actions. A footer shows the scheduled run behind the forecast, with Export and Share forecast.

The ledger is designed to draw on PlanMagnet's delivery forecasting, which projects dates from team throughput, and on its roadmap epics, and it is designed to work with other Burdenoff products. Squad capacity is designed to come from CrewFoundry, the renewal date and seat count from Subscriber Bot's provider-facing view of the account, and the originating deal from HeadshotMarketing, recorded as the source of the commitment. When a forecast slips past a promise, a product manager can propose a new date or notify the account owner from the same screen. Accounts, amounts and dates shown are sample data.

What this concept shows

  • A ledger of dates promised to customers, with the epic or request that delivers each one once it is scheduled
  • Filter chips for at-risk, watch, on-track, unscheduled and delivered commitments
  • Tiles for open commitments, commitments at risk, recurring revenue renewing with at-risk items and median forecast slip
  • A forecast window beside each scheduled promise, with squad capacity shown as a utilization bar
  • Renewal date and seat count per account, with a flag when an account renews before its request is scheduled
  • A detail panel naming the source deal, the renewal, squad capacity, forecast confidence and the sprints the forecast is grounded in
  • Propose new date and Notify account owner actions beside a caution when the forecast lands late
  • A footer showing the scheduled run behind the forecast, with Export and Share forecast actions

How it works

  1. Open Customer commitments under Products and log a new commitment whenever a date is promised.
  2. Filter to at-risk commitments and read the tiles for revenue renewing and median forecast slip.
  3. Compare each promised date with its forecast window, squad capacity and renewal date.
  4. Select a commitment to see its source deal, renewal, capacity and the sprints its forecast is grounded in.
  5. Propose a new date or notify the account owner when the forecast lands after the promise.
  6. Export or share the forecast with sales and customer success leaders.

Customer Commitments Ledger with Detail Panel

Promises set against forecasts, squad capacity and renewals, with a detail panel for a selected at-risk commitment.

This illustration shows the Customer commitments page under Products, described as dates promised to customers linked to the work that delivers them, with Log commitment and Export buttons. Filter chips with counts cover all, at risk, watch, on track, unscheduled and delivered. Four tiles show open commitments, commitments at risk, recurring revenue renewing with at-risk items and median forecast slip in days. The ledger columns are commitment, account, promised date, forecast window, epic or request, squad capacity with a bar, renewal date and seats, and status. Rows include a two-way accounting sync, single sign-on, a bulk job import API and two items not yet scheduled, all from sample home-services and trades accounts. The selected at-risk row opens a panel naming its HeadshotMarketing source deal, its Subscriber Bot renewal, CrewFoundry capacity showing the squad over-allocated, forecast confidence and grounding sprints, a caution that the forecast lands late, and Propose new date and Notify account owner.
